How We Disclose Personal Information In certain circumstances, we may disclose your personal information to third parties for legitimate purposes subject to this Privacy Policy. Such circumstances may include: With Shopify, vendors and other third parties who perform services on our behalf (e.g. IT management, payment processing, data analytics, customer support, cloud storage, fulfillment and shipping). The principal processors we engage, in addition to Shopify, are described in the sections below. With business and marketing partners to provide marketing services and advertise to you. For example, we use Shopify to support personalized advertising with third-party services based on your online activity with different merchants and websites. Our business and marketing partners will use your information in accordance with their own privacy notices. Depending on where you reside, you may have a right to direct us not to share information about you to show you targeted advertisements and marketing based on your online activity with different merchants and websites. When you direct, request us or otherwise consent to our disclosure of certain information to third parties, such as to ship you products or through your use of social media widgets or login integrations. With our affiliates or otherwise within our corporate group. In connection with a business transaction such as a merger or bankruptcy, to comply with any applicable legal obligations (including to respond to subpoenas, search warrants and similar requests), to enforce any applicable terms of service or policies, and to protect or defend the Services, our rights, and the rights of our users or others. Relationship with Shopify The Services are hosted by Shopify, which collects and processes personal information about your access to and use of the Services in order to provide and improve the Services for you. Information you submit to the Services will be transmitted to and shared with Shopify as well as third parties that may be located in countries other than where you reside, in order to provide and improve the Services for you. In addition, to help protect, grow, and improve our business, we use certain Shopify enhanced features that incorporate data and information obtained from your interactions with our Store, along with other merchants and with Shopify. To provide these enhanced features, Shopify may make use of personal information collected about your interactions with our store, along with other merchants, and with Shopify. In these circumstances, Shopify is responsible for the processing of your personal information, including for responding to your requests to exercise your rights over use of your personal information for these purposes. To learn more about how Shopify uses your personal information and any rights you may have, you can visit the Shopify Consumer Privacy Policy. Depending on where you live, you may exercise certain rights with respect to your personal information here Shopify Privacy Portal Link. Hosting and Edge Infrastructure (Shopify Oxygen / Cloudflare) The storefront frontend is built with Shopify Hydrogen and hosted on Shopify Oxygen, Shopify's edge hosting platform. Oxygen runs on infrastructure operated by Cloudflare, Inc. (101 Townsend Street, San Francisco, CA 94107, USA). We additionally use Cloudflare to manage authoritative DNS for our domain. When you visit our Site, your request is routed through Cloudflare's global edge network before reaching Shopify's services. In this context, Cloudflare automatically processes the following data on our and Shopify's behalf: IP address and approximate geolocation derived from it; Date and time of the request, requested URL, HTTP method, response status, and transferred volume; Browser type and version, operating system, and referrer URL; TLS connection metadata; Information used to detect and mitigate abuse such as bot traffic and DDoS attempts; DNS query metadata used to resolve our domain. This processing is technically necessary to deliver the website, ensure availability and performance via caching, and protect the Site against attacks. The legal basis is our legitimate interest in providing a fast, available and secure online shop pursuant to Art. 6 (1) (f) GDPR. Cloudflare may process this data in the United States and other countries. Such transfers are safeguarded by Cloudflare's certification under the EU-US Data Privacy Framework (European Commission adequacy decision of 10 July 2023) and by Standard Contractual Clauses. For more information see Cloudflare's privacy policy at https://www.cloudflare.com/privacypolicy/ and sub-processor list at https://www.cloudflare.com/gdpr/subprocessors/. Email Delivery for Newsletter Sign-up and Back-in-Stock Notifications (Mailgun / Sinch) We use Mailgun, operated by Mailgun Technologies, Inc. (a Sinch group company; One North Wacker Drive, Suite 2500, Chicago, Illinois 60606, USA), as the email delivery infrastructure for two specific purposes: to send the confirmation and welcome emails when you sign up for our newsletter (double opt-in); to send back-in-stock notification emails (see the section below). For these purposes, Mailgun processes your email address, the message content, and metadata required for delivery (timestamps, delivery status, IP address of the sending server, technical headers). Mailgun processes data sent through our account in its EU region. Where Mailgun engages sub-processors or its US parent in connection with operating the service, transfers are safeguarded by Standard Contractual Clauses and Mailgun Technologies' certification under the EU-US Data Privacy Framework. See https://www.mailgun.com/legal/privacy-policy/ and Sinch's sub-processor list at https://sinch.com/legal/data-protection-agreement-sub-processors/. The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR, given when you sign up for the newsletter or request a back-in-stock notification. You can withdraw your consent at any time with effect for the future. Web Analytics and Advertising Measurement (Google Analytics 4, Google Ads) On our storefront at arwenn.com we use Google Analytics 4 and Google Ads conversion and remarketing tags, operated by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Our Shopify checkout additionally uses Google's official sales channel integration to measure completed purchases. These services are loaded only after you have given your consent in our cookie banner. Before that, no Google script is loaded and no data is sent to Google. When active, the following data is processed: IP address (used by Google to derive an approximate location; it is not stored by Google Analytics); Browser type and version, operating system, screen resolution, and language; Referrer URL and the pages you view on our Site; Interactions with the Site, in particular page views, product views, searches, cart views, items added to the cart, and newsletter sign-ups, including product identifiers, prices and currency; A randomly generated identifier stored in cookies on your device, which allows recognition of a returning browser; Where you reached us through a Google advertisement, the click identifier assigned by Google. Cookies set for these purposes: _ga and _ga_DYGT64WMBZ — analytics, 400 days; _gcl_au — attribution of advertising clicks, 90 days; test_cookie (doubleclick.net) — checks whether cookies can be set, session only. The purposes are the statistical analysis of how our Site is used, the measurement of advertising effectiveness, and the creation of audiences for advertising. The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR and § 25 (1) TDDDG. You can withdraw your consent at any time with effect for the future via the cookie settings linked in the footer of our Site; withdrawal does not affect the lawfulness of processing carried out before it. Google may process this data in the United States through Google LLC (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA). Such transfers are safeguarded by Google's certification under the EU-US Data Privacy Framework (European Commission adequacy decision of 10 July 2023) and by Standard Contractual Clauses. Further information is available in Google's privacy policy at https://policies.google.com/privacy and in Google's description of how it uses data from sites that use its services at https://policies.google.com/technologies/partner-sites. Meta Pixel and Conversions API (Facebook, Instagram) On our storefront at arwenn.com we use the Meta Pixel and the associated Conversions API, operated by Meta Platforms Ireland Limited (Merrion Road, Dublin 4, D04 X2K5, Ireland). Our Shopify checkout additionally uses Meta's official sales channel integration to measure completed purchases. The Meta Pixel is loaded only after you have given your consent in our cookie banner. Before that, no Meta script is loaded and no data is sent to Meta, including from our servers. When active, the following data is processed: IP address and browser identification (user agent); The address of the page you are viewing and the referring page; Interactions with the Site, in particular page views, product views, searches, items added to the cart, and newsletter sign-ups, including product identifiers, prices and currency; Identifiers stored in cookies on your device, and, where you reached us through an advertisement on Facebook or Instagram, the click identifier assigned by Meta. Cookies set for these purposes: _fbp — identification of the browser, 90 days; _fbc — attribution of an advertising click, set only if you reach us through a Meta advertisement. In addition to the transmission from your browser, we transmit the same events from our own server to Meta through the Conversions API. Both transmissions carry an identical event identifier so that Meta can recognise them as one event rather than two. The server transmission contains the IP address, the browser identification, the cookie identifiers named above and the event data. We do not transmit your email address, telephone number or name to Meta through this interface.
The purposes are the measurement of advertising effectiveness and the creation of audiences for advertising on Facebook and Instagram.
For the collection of this data and its transmission to Meta, we and Meta Platforms Ireland Limited are joint controllers pursuant to Art. 26 GDPR. The essential content of that arrangement is set out in Meta's Controller Addendum, available at https://www.facebook.com/legal/controller_addendum. Meta is solely responsible for any further processing of the data. You may assert your rights under the GDPR against either us or Meta.
Meta may process this data in the United States through Meta Platforms, Inc. (1 Meta Way, Menlo Park, CA 94025, USA). Such transfers are safeguarded by Meta's certification under the EU-US Data Privacy Framework (European Commission adequacy decision of 10 July 2023) and by Standard Contractual Clauses. Further information is available in Meta's privacy policy at https://www.facebook.com/privacy/policy.
Data Transmitted from the Shopify Checkout
Our checkout is operated by Shopify on checkout.arwenn.com. Through the official sales channel integrations of Google and Meta, data about completed purchases is transmitted from there — separately from, and in addition to, the measurement on arwenn.com described above.
- Google (Enhanced Conversions): alongside the order value, currency and order number, contact details you entered in the checkout — email address, telephone number, name and address — are transmitted to Google in hashed form. Hashing is an irreversible one-way transformation; Google uses the values to match an order to an earlier advertisement click.
- Meta (extended data sharing): correspondingly, order data and the same contact details in hashed form are transmitted from the checkout to Meta through Meta's own server-side interface.
-
Google Merchant Center: Shopify's checkout additionally
loads a Google measurement tag for Merchant Center reporting, which sets
the cookie
_ga_HK1WGNFWEY(400 days).
These transmissions also take place only after you have consented in our cookie banner. The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR and § 25 (1) TDDDG, and it can be withdrawn at any time with effect for the future through the cookie settings linked in the footer of our Site.
To avoid any misunderstanding: the Conversions API operated by us, described above, continues to transmit no email address, telephone number or name. The transmissions described in this section are made by Shopify's checkout through the integrations of Google and Meta.
Your Consent and How to Withdraw It
The services described in the two sections above are only activated once you have consented to them in the cookie banner. Our storefront loads no analytics or advertising script and sends no data to Google or Meta before that, and the same applies to the transmissions made from our server. You can change or withdraw your choice at any time through the cookie settings linked in the footer of our Site.
Payment Processing
Payments in our checkout are processed through Shopify Payments. For merchants in the European Economic Area, this service is provided by Shopify International Limited (The Sidings, 4th Floor, Grand Canal Quay, Dublin D02 E7K8, Ireland). Shopify engages specialised payment processors to execute the transaction; which processor applies depends on the country and is listed by Shopify in its payment processor list.
Depending on the payment method you choose, the following data is processed in order to complete your purchase:
- Name, billing and delivery address, email address and, where provided, telephone number;
- Order details, amount, currency and order number;
- Payment method and the data belonging to it — for card payments the card number, expiry date and verification code, which are entered directly into the payment form and are not accessible to us;
- IP address, device and browser information, and further details used to detect and prevent fraudulent transactions and chargebacks.
The legal basis for processing payment data is the performance of our contract with you pursuant to Art. 6 (1) (b) GDPR. For the detection and prevention of fraud and payment defaults we additionally rely on our legitimate interest and that of the payment providers pursuant to Art. 6 (1) (f) GDPR. Providing this data is necessary to conclude a purchase; without it we cannot process your order.
Shop Pay. If you use Shop Pay, Shopify stores your contact details, delivery address and payment method so that they are available for future purchases in our store and in other stores using Shopify. You can delete these details in your Shop account at any time.
Card payments. We accept Visa, Mastercard, American Express, Maestro and UnionPay. The transaction is processed through the respective card network, which receives the data required for authorisation and settlement.
Apple Pay. If you pay with Apple Pay, the payment is authorised on your device and transmitted to us and to the payment provider as a device-specific number together with a transaction code. Apple (Apple Distribution International Limited, Hollyhill Industrial Estate, Hollyhill, Cork, Ireland) processes device, transaction and security data in this context. Further information is available at https://www.apple.com/legal/privacy/.
Google Pay. If you pay with Google Pay, the payment data stored in your Google account is transmitted for the transaction. Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland) processes the data required for this purpose. Further information is available at https://policies.google.com/privacy.
Payment data may be processed outside the European Economic Area, in particular in the United States and Canada. Shopify safeguards such transfers through its Binding Corporate Rules; transfers to Apple and Google are safeguarded by the EU-US Data Privacy Framework and by Standard Contractual Clauses. Further information on Shopify's processing is available at https://www.shopify.com/legal/privacy.
Payment data is retained for as long as required for the execution of the contract and for the statutory retention periods under commercial and tax law.
PayPal. If you pay with PayPal, the payment is processed by PayPal (Europe) S.à r.l. et Cie, S.C.A. (22-24 Boulevard Royal, L-2449 Luxembourg). We transmit your name, address, email address, order details and the amount to PayPal. PayPal may carry out a credit assessment and transmit data to credit agencies in order to protect its legitimate interest in determining your solvency. The legal basis is the performance of the contract pursuant to Art. 6 (1) (b) GDPR and legitimate interests pursuant to Art. 6 (1) (f) GDPR. Further information is available at https://www.paypal.com/de/webapps/mpp/ua/privacy-full.
Klarna. If you pay with a Klarna payment method, the payment is processed by Klarna Bank AB (publ) (Sveavägen 46, 111 34 Stockholm, Sweden). We transmit your name, address, email address, telephone number, date of birth, order details and the amount to Klarna. For invoice and instalment payments Klarna carries out an identity and credit assessment and may exchange data with credit agencies for that purpose. The legal basis is the performance of the contract pursuant to Art. 6 (1) (b) GDPR and legitimate interests pursuant to Art. 6 (1) (f) GDPR. Further information is available at https://www.klarna.com/international/privacy-policy/.
Back-in-Stock Notifications
If you sign up to be notified when a sold-out product becomes available again, the notification service is operated on our behalf by WL Artworld Solutions GmbH, Weydingerstraße 6, 10178 Berlin, Germany, on the basis of a data processing agreement pursuant to Art. 28 GDPR. For this purpose we process your email address and the product(s) you have indicated interest in, for the sole purpose of sending you a one-time notification when the product is available again.
The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR, given when you submit the back-in-stock request. You can withdraw your consent at any time with effect for the future, for example by clicking the unsubscribe link in the notification email or by contacting us. The data is deleted once the notification has been sent or your request is withdrawn, whichever is sooner. WL Artworld Solutions GmbH processes this data on servers located in Germany and uses Mailgun (described in the section above) as the email delivery service to send the notification.
Email and SMS Marketing
If you have given us your consent, we send marketing communications (newsletters, product announcements, promotions) by email and/or SMS. The actual marketing campaigns are sent through Shopify Email and Shopify SMS, which are part of the Shopify platform described above and are subject to the same processing and transfer arrangements. The initial sign-up confirmation email (double opt-in) is sent via Mailgun as described above.
The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR in conjunction with § 7 (2) UWG. You can withdraw your consent at any time with effect for the future, by clicking the unsubscribe link in any marketing email, by replying STOP (or as otherwise instructed) to a marketing SMS, or by contacting us at info@arwenn.com. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
Third Party Websites and Links
The Services may provide links to websites or other online platforms operated by third parties. If you follow links to sites not affiliated or controlled by us, you should review their privacy and security policies and other terms and conditions. We do not guarantee and are not responsible for the privacy or security of such sites, including the accuracy, completeness, or reliability of information found on these sites. Information you provide on public or semi-public venues, including information you share on third-party social networking platforms may also be viewable by other users of the Services and/or users of those third-party platforms without limitation as to its use by us or by a third party. Our inclusion of such links does not, by itself, imply any endorsement of the content on such platforms or of their owners or operators, except as disclosed on the Services.
Children's Data
The Services are not intended to be used by children, and we do not knowingly collect any personal information about children under the age of majority in your jurisdiction. If you are the parent or guardian of a child who has provided us with their personal information, you may contact us using the contact details set out below to request that it be deleted. As of the Effective Date of this Privacy Policy, we do not have actual knowledge that we "share" or "sell" (as those terms are defined in applicable law) personal information of individuals under 16 years of age.
Security and Retention of Your Information
Please be aware that no security measures are perfect or impenetrable, and we cannot guarantee "perfect security." In addition, any information you send to us may not be secure while in transit. We recommend that you do not use unsecure channels to communicate sensitive or confidential information to us.
How long we retain your personal information depends on different factors, such as whether we need the information to maintain your account, to provide you with Services, comply with legal obligations, resolve disputes or enforce other applicable contracts and policies. In particular, order data and related accounting records are retained for the periods required under German tax and commercial law (in general 10 years pursuant to § 257 HGB and § 147 AO). Marketing consent records are retained until you withdraw consent and for a reasonable period thereafter to demonstrate compliance.

Specifically, transfers of personal data to the United States may take place in connection with our use of Shopify, Cloudflare (as Shopify's sub-processor for Oxygen hosting and as our DNS provider), and Mailgun. Microsoft 365 customer business data is stored in Germany by default for our account; any limited transfers in that context (e.g. diagnostic data, support) are safeguarded as described in the Microsoft section above. All such transfers are safeguarded by certifications under the EU-US Data Privacy Framework and/or Standard Contractual Clauses as set out in the relevant sections.
